Creating an effective voicemail is a critical part of successful communication, especially when working in sales, prospecting, or client servicing. A voicemail that is thoughtfully planned and clearly delivered can be the difference between getting a callback or being ignored. Here are five key tricks to help improve your voicemail effectiveness:
1. Use first names only. Avoid using last names when leaving a message. Using only a first name makes the message feel more natural and less like a scripted sales pitch. Messages that sound overly formal or rehearsed tend to be dismissed or ignored.
2. Make the message relevant. The content of your voicemail must matter to the person you are calling. Be specific and make sure what you are sharing speaks directly to their interests or needs. A relevant message is more likely to prompt a reply.
3. Lead with the benefit. Let the listener know how returning your call will benefit them. Do not wait until the end to explain why you are calling. When the purpose is clear and valuable, it encourages engagement.
4. Be mindful of tone and pace. A good voicemail should sound conversational and relaxed. Avoid speaking too quickly. Most people need to speak more slowly than they think, especially when leaving important contact details or requests.
5. Offer multiple ways to respond. Do not rely solely on a callback. Provide alternative contact options such as text or email. Making it easy for the person to respond in a way that suits them increases the chance of hearing back.
In addition to these core tips, there are two extra practices that can further boost your success:
Bonus tip #1: Call from the right number. Always place the call from the same number you want the person to call back. If they see a missed call and a voicemail from one number, they are more likely to return the call without confusion. Using a different number can create friction if they have to write it down.
Bonus tip #2: Send a follow-up text. Not everyone checks their voicemail. However, when a call is followed by a voicemail and then a text message, the chance of a reply increases. A brief, friendly text that references your voicemail can be a helpful reminder.
